We have an exceptional direct hire opportunity at one of our internationally recognized global healthcare and research clients located in downtown Seattle. As a Senior Administrative Assistant for this very unique and exciting team, you will play a key high visibility role supporting three members of Executive Leadership.

The key responsibilities will include:
  • Approximately 50% of your time will be spent performing complex scheduling and calendar management for department and community meetings. Notify attendees, and order and set-up equipment and catering. Take and distribute meeting minutes.
  • Make local and international travel arrangements, execute logistic coordination and expense tracking.
  • Use your great organizational skills and ability to prioritize work to perform diverse high volume work that may include confidential information.
  • Answer designated telephone lines, take messages, prioritize, screen, and route calls or assist with questions or issues. Provide additional follow up as needed.
  • Greet visitors and manage visitor and customer flow by answering questions, resolving conflicts, and notifying appropriate staff of urgent issues. Redirect visitors and customers to appropriate department, organization, or service center if necessary.
  • Create, edit, type, and proofread a variety of highly complex correspondence, memos, reports, policies, forms, presentations, and other printed or electronic materials. Open, date stamp, sort, and prioritize incoming mail from mailroom, e-mail and faxes.
  • Enter or extract data from various sources and analyze and summarize for reports and presentations.
  • Complete individual project tasks assigned within designated timelines and due dates. Communicate any issues that potentially jeopardize the project deadline. Recommend and/or develop recovery plan for management review. Research and resolve ongoing project issues as they arise. Generate reports to brief management and staff regarding project status.
  • Ad hoc Administrative support as requested proving exceptional customer service at all times.

Experience required:
  • Minimum five (5) years of related experience administrative work supporting high level management or executives
  • Three (3) years experience in a research or academic or related environment.
  • Advanced knowledge of Microsoft Office Suite (i.E. Word, Excel, Access, PowerPoint, Outlook, etc.)
  • Ability to establish and maintain productive work relationships with staff and the public.
  • Excellent Written and verbal communication skills required to communicate with a wide variety of individuals. Ability to create, edit, write, and proofread highly complex reports and correspondence geared to a wide audience. Ability to handle highly complex problems or issues in standard and emergent situations.
  • Must be able to review materials for content and accuracy and make suggestions for improvement and/or make limited corrections.
  • Able to perform basic mathematical computations of addition, subtraction, multiplication, and division.

Salary $56K - $61K DOE
