Job Description


Job Responsibilities:
  • Provide executive support to members of the C-suite
  • Schedule internal and external meetings, appointments, and conference calls, often across multiple time zones. Maintain well-organized calendars despite frequent, last minute changes.
  • Act as gatekeeper of executives schedule and accessibility. Able to think ahead and anticipate and resolve scheduling conflicts.
  • Ensure that executives are well-informed and prepared for upcoming events while adhering to travel preferences and policies;plan and book extensive domestic and international travel. Arrange flights, hotels, and ground transportation, procure visas, maintain passports, and track travel credits. 
  • Work on presentations, reports, correspondence and spreadsheets using the MS Office suite.
  • Perform tasks include filing, copying, record keeping, internet research, and event planning.
  • Process credit card expenses and expense reimbursements for multiple executives.
  • Manage office supplies and equipment, mail/shipments, act as primary contact for facilities and IT. 







Job Details:
  • Location: Downtown Seattle, WA
  • Free Parking
  • Pay Rate: $33-$36 per hour
  • Hybrid;2-3 days in office per week
  • Temporary Assignment (December 2023-April 2024)




Candidate Requirements:
  • Bachelor s degree  
  • 5+ years experience as executive assistant in a fast-paced organization or similar experience requiring extensive planning and organizing
  • 3+ years experience planning and managing domestic and international travel
  • Proven ability to perform expense reporting, experience with Concur is a plus
  • Savvy with communication technology AV, video conference, skype, international travel options
  • Detail oriented and highly accurate;learns from mistakes and proactively adjusts processes to prevent future occurrences
  • Strong proficiency in Microsoft Outlook, Word, Excel, and PowerPoint
  • High level of confidentiality, sound judgment and discretion
  • Exceptional organizational skills with ability to prioritize
  • Flexibility to balance workload with changing deadlines and priorities
  • Polished and professional demeanor and appearance in all situations
  • Strong written and verbal communication skills and interpersonal skills
  • Ability to work independently, operate in the grey and manage up
  • Self-motivated with a willingness to find solutions to problems
  • 3+ years in financial services a plus
